  • Looking for a Senior Team Assistant to join a Financial Services firm in the heart of the CBD to support 6 senior stakeholders.

    About the Role:

    Our client is seeking a Team Assistant to provide high-level administrative support to six senior leaders within our Corporate and Finance divisions. This role will play a crucial part in ensuring the smooth day-to-day operations. 


    Key Responsibilities:
    • Diary & Calendar Management: Coordinate schedules, avoiding conflicts, and securing appropriate meeting spaces.
    • Meeting Coordination: Organize and schedule meetings across various teams, liaising with other executive assistants within the business.
    • Expense Management: Process monthly expense claims through Concur, including reconciliation of corporate office expenses.
    • Document Preparation: Assist in drafting and formatting reports, presentations, and other key documents as needed.
    • Travel Arrangements: Organize domestic and international travel for the team.
    • Administrative Support: Handle ad hoc administrative tasks and special projects as required.
    • Meeting Agendas & Minutes: Prepare meeting agendas and record minutes when necessary.
    What We’re Looking For: Experience & Knowledge:
    • A minimum of 5 years in an administrative or team assistant role, preferably supporting senior leadership.
    • Previous experience managing diaries, scheduling meetings, and handling confidential information.
    Key Skills & Attributes:
    • Strong attention to detail and a high level of accuracy.
    • Excellent organizational and time management abilities.
    • Ability to prioritize tasks in a fast-paced environment.
    • Exceptional communication skills, both written and verbal.
    • A collaborative approach with a positive, can-do attitude.
    • Ability to maintain strict confidentiality when handling sensitive information.
    • A process-driven mindset with a strong focus on efficiency.
    Technical Skills:
    • Proficiency in Microsoft Office Suite(Outlook, Word, Excel, and PowerPoint).
    • Experience using Microsoft Teams for virtual collaboration.
    • Familiarity with Concur for expense management.
