About the Role:
Our client is seeking a Team Assistant to provide high-level administrative support to six senior leaders within our Corporate and Finance divisions. This role will play a crucial part in ensuring the smooth day-to-day operations.
Key Responsibilities:
- Diary & Calendar Management: Coordinate schedules, avoiding conflicts, and securing appropriate meeting spaces.
- Meeting Coordination: Organize and schedule meetings across various teams, liaising with other executive assistants within the business.
- Expense Management: Process monthly expense claims through Concur, including reconciliation of corporate office expenses.
- Document Preparation: Assist in drafting and formatting reports, presentations, and other key documents as needed.
- Travel Arrangements: Organize domestic and international travel for the team.
- Administrative Support: Handle ad hoc administrative tasks and special projects as required.
- Meeting Agendas & Minutes: Prepare meeting agendas and record minutes when necessary.
- A minimum of 5 years in an administrative or team assistant role, preferably supporting senior leadership.
- Previous experience managing diaries, scheduling meetings, and handling confidential information.
- Strong attention to detail and a high level of accuracy.
- Excellent organizational and time management abilities.
- Ability to prioritize tasks in a fast-paced environment.
- Exceptional communication skills, both written and verbal.
- A collaborative approach with a positive, can-do attitude.
- Ability to maintain strict confidentiality when handling sensitive information.
- A process-driven mindset with a strong focus on efficiency.
- Proficiency in Microsoft Office Suite(Outlook, Word, Excel, and PowerPoint).
- Experience using Microsoft Teams for virtual collaboration.
- Familiarity with Concur for expense management.
